Your Fabric Spec Is Wrong. Here's Why (And How to Fix It Before Production)

It started with a phrase I've heard a hundred times

"It's just a simple blanket fabric. We need it in the lenzing tejido."

The client was confident. The PO was signed. And three weeks later, 2,000 yards of fabric arrived that looked nothing like what they'd described in the Monday morning meeting.

I'm a spec coordinator for a mid-sized textile supplier. In my role, I translate what buyers think they want into what mills can actually produce. I've handled 400+ orders in the last three years — including last-minute fix-its for two major bedding brands — and if there's one pattern I've seen consistently, it's this:

The biggest production disasters aren't technical failures. They're communication failures.

Here's something vendors won't tell you: when you write "lenzing modal material" on a spec sheet, the person reading it may be imagining a completely different fabric than you are. And by the time you see the sample? It's already on the loom.

Where the miscommunication starts

When I say "lenzing tejido," most people nod like they understand. But "tejido" just means "fabric" in Spanish. It tells me you want something made by Lenzing. It doesn't tell me the weave, the weight, or the finish.

Same with "lenzing modal material." Modal is a generic fiber type. Lenzing's Modal is a specific branded product with known quality standards. But material? That could mean a single jersey knit, a woven satin, or a double-faced fleece.

In March 2024, one of our routine orders almost went sideways because a buyer specified "thick upholstery fabric" without a weight requirement. The mill interpreted "thick" as 800 GSM. The buyer expected 500 GSM. We got 300 extra yards of something that wouldn't drape properly for the specified application.

"We were using the same words but meaning different things. Discovered this when the order arrived to find a fabric resembling carpeting."

The three specs that always get lost

Here's a pattern I've identified from our internal data on about 200 rework requests over the last two years. Most errors trace back to three missing details:

1. Weight or GSM

You say "thick upholstery fabric." The mill hears "subjective descriptor." We had a case where one mill's "heavy drape" was 340 GSM and another's was 560 GSM. The difference is about $2.50 per yard in raw material cost alone.

If you're specifying fabric for a hotel project, a 220 GSM difference changes the fire retardancy treatment required. It changes the sewing needle needed. It can turn a 30-day lead time into a 60-day delay.

What I recommend: specify GSM or ounces per square yard. Not “thick.” Not “heavy.” Give a number with a 5% tolerance range.

2. Finish type

"Is lenzing ecovero good quality?" — I hear this all the time. Yes, the fiber is excellent. But the fiber isn't the fabric.

A TENCEL™ Lyocell fiber can be made into a peach-skin finish that feels like suede. Or it can be made into a crisp, clean weave that holds its shape like linen. Those are different finish processes. If you don't specify it, the mill will choose based on what's easiest for them, not what's best for your application.

Last year, a buyer had a rush order for a bedding line launch. They specified TENCEL™ but didn't specify the finish. The mill delivered a standard woven—good quality, but not the soft micro-modal hand the buyer's marketing materials promised. The launch was delayed by three weeks.

3. Intended use case (and its constraints)

This is the most overlooked spec. I get it—you're busy, you assume it's obvious. But it's not always obvious to the person on the other end of the email.

I once had a client who ordered a modal blend for baby bedding. They didn't specify that the fabric needed to pass OEKO-TEX Standard 100. The mill produced with standard dyes. The testing failed. The entire order was rejected. The client's alternative was to wait six weeks for a re-run or absorb the loss.

To be fair, the mill should have asked. But when you're working on a tight deadline—and we often are—assumptions cascade.

What it costs when you're wrong

Calculated the worst case for a typical mis-specified order: a complete re-do at $3,500 in rush fees plus material waste. Best case: a minor adjustment, maybe $200. But the expected value tells me it's not about the money—it's about the hidden cost of lost trust and delayed launches.

In 2023, our company lost a $35,000 contract with a major bedding label because we attempted to save $500 on standard spec verification. Instead, we delivered 1,200 yards of fabric that was off-spec by 15% in shrinkage. The contract went to a competitor who had built "spec verification" into their standard operating procedure.

So how do you fix it?

I'm not going to give you a ten-step guide. The solution is simpler than you think.

Write your spec sheet as if the person reading it has never seen your product before.

Because they probably haven't.

Here's a quick checklist I ask all my clients to fill out before we even start sampling:

  • Fiber content: Not just "Lenzing Modal" but the exact blend percentage.
  • Weight: GSM or oz/sq yd, with tolerance (e.g., 180 GSM ± 10%).
  • Construction: Weave or knit type (plain, twill, satin, jersey, etc.)
  • Finish: Peach, brushed, washed, calendered, enzyme, anti-pill, etc.
  • Application: What is it for? What does it need to do? (Fire rating, wash test, lightfastness, etc.)
  • Standards: Any certifications you need to meet (OEKO-TEX, GOTS, etc.)

That's it. It's not rocket science. But most orders fail because one of these six points was left blank or was specified using a word like "soft" or "nice."

I recommend this approach for large production runs, but if you're ordering a small batch—say under 500 yards—and speed is more important than precision, you might be fine with a looser spec. That's a risk you can weigh. For the other 80% of orders, be precise. It saves time, money, and a lot of tense phone calls.
